At Benedictine, we promote activities through advertising, communications
and public relations. To develop a strategic approach to promotion,
there is a need for a coordinator of promotional efforts. The
Office of Marketing and Communications is here to support University-wide
promotional activities that aim to advance the entire institution.
Benedictine University's Image
Benedictine University's communications to our internal and external
audiences are crucial elements in shaping our image in the community
and among prospective students and their parents. Everyone at
our institution contributes to the University image through letters,
speaking engagements, publications, events and activities, and
even by answering the telephone or directing a visitor to their
proper place. Portraying a consistent image throughout the University
is critical to our success. These policies ensure that our communications
- in whatever form they take - enhance the University's image.
Benedictine University's Name
When referring to Benedictine University, in any format, use only
the name Benedictine University. The correct pronunciation of
the school name is Ben-uh-dic-tin (not teen). The only acceptable
usage of Illinois Benedictine College or St. Procopius College
is in parentheses, with the words, "formerly known as." Never
refer to the University as BU. Always use the full name.
Advertising
One way to get our name out into the community is through advertising.
The Office of Marketing and Communications produces and places
all display and broadcast advertisements. All advertisement billing
will be handled by the Executive Director of Marketing and Communications.
Classified job advertisements, however, may be placed without
the assistance of the Office of Marketing and Communications. This should
be done through Employee Services. If the Benedictine University
logo is used in classified ads, please use the guidelines provided
in the logo standards section of this guide.
Requests for all advertisements must go to the Office of Marketing and Communications at least three weeks prior to the first run date. For
placement of an existing advertisement, contact the Office of
Marketing and Communications two weeks prior to the date you want your advertisements
to run (this includes radio and print). Prices vary by publication
and broadcast station.
Deadline: Three weeks prior to the first run date.
Promotional Items
Promotional items are a great way to market the University. Offices
and departments on campus wishing to order promotional items such
as pens, pencils, t-shirts, etc., should contact the Office of
Marketing and Communications. We will contact vendors for prices,
delivery times and artwork requirements and we will also order
the materials. Once a price is obtained, you should submit a purchase
order. If you need a small quantity of promotional items as a
special recognition or gift, contact the Executive Director of
Marketing and Communications to determine if such items are available,
or check the array of items available at the Bookstore.
Deadline: At least three weeks in advance.
Electronic Sign on Maple Avenue and College Road
The Office of Marketing and Communications is responsible for maintaining
the electronic sign on the corner of Maple Avenue and College
Road. Requests for information to be put on the electronic sign
should be submitted to this office one week prior to the message
running, using the Publicity Request Form. Messages regarding
the promotion of programs, events and activities at Benedictine
University are acceptable and encouraged. At times, the sign is
also used to promote events in the Lisle/Naperville community.
Generally, messages run from two days to a full week.
Deadline: One week prior to the message running.
Closed Circuit TV
The Office of Marketing and Communications is responsible for maintaining
the University's closed circuit TV channels. Requests for information
to be put on channel 64 should be submitted to this office one
week prior to the message running, using the Publicity Request
Form. Messages regarding the promotion of programs, events and
activities at Benedictine University are acceptable and encouraged.
More specifically, messages targeted for the student population
are most appropriate.
Deadline: One week prior to the message running.
The Benedictine University Web Site
The development, content, design, management and maintenance of
the Benedictine University Web site is the responsibility of the
Office of Marketing and Communications. This will ensure a professional tone,
appealing design and consistent message throughout.
Marketing and recruitment are the primary purposes of the Web
site - promoting the University to outside audiences such as prospective
students and donors, alumni and the media. The site is organized
so that primary levels are devoted to this marketing function.
While the site includes information, it plays a supportive role
to promotional text. Our internal audiences, including students,
faculty, administrators and staff, are also served by the Web
site, but at less accessible levels of the site's hierarchy (this
assumes that internal audiences will visit the site more frequently,
and will bookmark the specific pages they need to return to, such
as the library, course pages, employee and benefits information,
etc).
A few clicks beyond the primary levels, there's more flexibility
for professors to express their personal style. In the interest
of academic freedom, each faculty member is solely responsible
for the content and design of their pages.
Departments wishing to have a page deeper into the site are
responsible for developing and maintaining their information themselves
and are encouraged to use the software application Dreamweaver.
Anyone wishing to add a page to the Benedictine University Web
site needs to meet with the Web Coordinator to discuss the information
and register the page.
Photography and Photographs
The Office of Marketing and Communications does not have a photographer on
staff. We do, however, use freelance photographers to cover our
photographic needs. We also take photographs to be used for advertisements
and major publications.
All photos remain in a central photo file, located in the Office
of Marketing and Communications. Photos are available for your review at any
time. To review these photos, please contact the Marketing and Communications
office assistant.
If you would like photographs taken during a University-sponsored
event for your area, we would be happy to arrange for a photographer
to be present. Please contact us two weeks prior to your event
with specific details of your event. If you would like to borrow
the University's camera, please contact the Office of Marketing and Communications
one day prior to the event and return the camera the following
work day.
In an effort to standardize our photo file, all photos will
be taken in color. This will give us the opportunity to use color
photos while still retaining the ability to convert them to black
and white, when necessary.
Deadline: Two weeks prior for professional photos. One day
notice for office photos or camera loan.
Materials Loan Policy
The Office of Marketing and Communications loans the University
photos, artwork and tapes to members of the campus community for
University business. Items on loan from Marketing and Communications must
be returned within five working days of check out. We welcome
you to make copies of things that you may need for longer periods
of time, such as videotapes, cassettes, photos, etc. You will
be required to sign for each item prior to check out.
